Terms of Service

These terms govern your use of HostHive. Please read them before you create an account. By signing up you agree to them.

1. Who we are and what HostHive does

HostHive is operated by [Company name], [Legal form], [Address] (“HostHive”, “we”, “us”). Our full details are in the legal notice.

HostHive is an online marketplace. It connects companies looking for event staff (“clients”) with independent presenters, brand ambassadors and product demonstrators (“hosts”). We provide the platform on which hosts publish profiles and clients send booking requests.

  • HostHive is not the employer, agent or staffing agency of any host. Hosts work independently and decide themselves which requests they accept.
  • When a host accepts a booking request, the contract for the hosting service is formed directly between the client and the host. HostHive is not a party to that contract and is not responsible for its performance.
  • HostHive does not currently process payments. The client pays the host as agreed between them. [Describe any HostHive fees here, or state that the service is free.]

2. Your account

  • You must be at least 18 years old and able to enter into contracts.
  • You sign up either as a host or as a client (a company). A client account must be used on behalf of the company named in it.
  • The information you give us must be true and kept up to date. Keep your password secret; you are responsible for everything done with your account.
  • One person or company may hold only the accounts it genuinely needs.

3. Host profiles

Hosts describe themselves, their rate, languages, skills, industry experience and availability. A host decides when a profile is published and can unpublish it at any time from their dashboard. Hosts are responsible for the accuracy of their profile, including their rate and any claims about experience or qualifications. HostHive does not verify this information unless we say so expressly.

4. Booking requests, acceptance and cancellation

  1. A client sends a booking request to a published host with the event details, the dates and an offer. A request can only be sent for an event that starts in the future.
  2. While a request is pending, only the client can change its terms. The host can accept or decline it. A host can only accept a request before the event starts, and not for dates that overlap another accepted booking or days the host has blocked.
  3. When the host accepts, the booking is confirmed and the contract described in section 1 is formed between the client and the host.
  4. A client can cancel a request at any time while it is pending. Either the client or the host can cancel an accepted booking, but only before the event starts. Once an event has started it can no longer be cancelled on HostHive.
  5. Any fees, compensation or other consequences of a cancellation are a matter between the client and the host. [Add any cancellation policy HostHive requires.]
  6. After the scheduled end of an accepted booking, it is marked as completed.
  7. To prevent spam, a client can have at most 5 pending requests with the same host and send at most 50 requests in 24 hours.

5. Reviews

  • Only the client of a completed booking can review the host, once per booking, with a rating from 1 to 5 stars and an optional comment.
  • Reviews must be honest, based on your own experience of that booking, and must not contain personal data of others, insults or unlawful content.
  • Public host pages show the rating, comment and date of each review, but not the name of the client who wrote it.
  • We may remove reviews that break these terms or the law. [Describe how users can report a review.]

6. Acceptable use

You must not:

  • use HostHive for anything unlawful, fraudulent or misleading;
  • post content that is offensive, discriminatory, infringes the rights of others or contains malware;
  • send requests you don’t intend to honour, or use HostHive to advertise unrelated services;
  • impersonate another person or company;
  • scrape, copy or harvest data from HostHive, or try to access data or accounts that are not yours;
  • interfere with the security or operation of the platform.

7. Your content

You keep ownership of everything you upload or write on HostHive, such as profile text, photos, logos, video links, messages and reviews. You grant HostHive a non-exclusive, worldwide, royalty-free licence to host, store, display, reproduce and adapt (for example resize or crop) that content for as long as it is on HostHive, in order to operate and promote the platform. For hosts this includes showing a published profile on public pages that search engines can index and that others can share. The licence ends when you delete the content or your account, except for copies in backups kept for a limited time and content others have already shared.

You confirm that you have the rights to what you upload, including the consent of anyone shown in your photos or videos.

8. Availability of the service

We work to keep HostHive available and secure, but we provide it “as is” and cannot guarantee that it is always available or free of errors. We may change, suspend or discontinue features.

9. Liability

  • HostHive is not liable for the hosting services agreed between clients and hosts, for the conduct of users, or for the accuracy of profiles and reviews.
  • We are liable without limitation for intent and gross negligence, for injury to life, body or health, and where mandatory law provides otherwise (for example under product liability law).
  • For slight negligence we are liable only for breaches of essential obligations, and limited to the foreseeable damage typical for this kind of contract.

10. Suspension and termination

You can stop using HostHive at any time and ask us to delete your account at [Email]. We may suspend or close an account that breaks these terms or the law, with notice where reasonable. Bookings that were already confirmed remain a matter between the client and the host.

11. Changes to these terms

We may update these terms, for example when we add features or when the law changes. We will tell registered users about material changes by email or in the app at least [30] days before they take effect. If you don’t agree, you can close your account before then.

12. Governing law

These terms are governed by the laws of [Country]. If you are a consumer, this does not take away the protection of the mandatory laws of the country where you live. Place of jurisdiction for merchants: [City].
